Run Your Vacation Picks by Your Department's Rules

Fire-Bid turns your annual vacation picks into a fair, transparent bid, set up with your own shifts, rotation, seniority roster, and accrual table. People are told automatically when their turn comes up, and everything picked can be exported as a CSV whenever you need it.

Examples of What It Can Do for Your Department

None of this is a fixed template. Each of these follows the rules your department already works to.

01

Your Seniority Order

The bid runs down your own roster, one person at a time. It advances only when that person submits or passes, and each shift runs its own bid so nobody waits on another shift.

02

Your Accrual Table

Each request is measured against the ready starting balance an admin locked in. If it comes up short, Fire-Bid then checks day by day what will have accrued by the dates picked, using the accrual rates set up for your department.

03

Your Staffing Caps

Your department's daily limit is set up for you, and any single date can be overridden or blocked outright for training. Past the cap, further requests become standby in the order they arrived.

04

Nobody Has to Watch for Their Turn

People are emailed when the bid opens and when their turn comes up, and can turn on a browser push alert. Turns have no clock, so a notification is a heads-up, not a countdown. An administrator can advance the turn or correct who is up when a bid needs it, and every such action is logged.

05

Records You Can Take With You

Admins can download the picked days as a CSV whenever they need them. Plain, readable columns that open in any spreadsheet, yours to use however your department already works.

06

A Record of Every Decision

Every pick, pass, override, and pause is written down with who did it and when, so a question months later has an answer instead of an argument.

How a Bid Runs

01

Balances Entered and Locked In

Before the bid opens, an admin enters each person's balance and marks it ready. It is locked in at that point, so every request is measured against the same starting number.

02

The Bid Opens Per Shift

Each shift's bid runs independently in seniority order, so every shift can be picking at once without waiting on the others.

03

Firefighters Pick in Turn

The current bidder picks their days or passes. There's no clock. The list only advances when they do one or the other.

04

Results and Standby Placements Are Recorded

Every approved day, every standby placement, and every admin override is written to a permanent audit log.
